Todo
The Todo app helps you stay on top of all your tasks.
Use the Todo app to create and manage tasks — both personal tasks and tasks linked to a workspace or project.
Opening the Todo app
After you open the Todo app, you are immediately presented with the tasks overview screen. Use the tabs at the top of the list to switch between All tasks, My tasks, and Personal task list.
- All tasks: Shows all tasks in the system that you have access to. This includes tasks on your personal task list as well as tasks that live inside Workspaces.
- My tasks: List all the tasks assigned to you. Mind that the grouping option ‘Group by assignee’, is for this reason not available on this screen.
- Personal task list: Lists all the tasks assigned to you and created by you in your own, personal tasks list, which is only accessible by you. Mind that the grouping options ‘Group by assignee’ and ‘Group by initiator’ are therefor not available on this screen.
Searching for tasks
Click the search icon in the toolbar to open the search bar. Type one or more keywords to filter the task list. The list updates as you type, showing only tasks whose title or description matches your query.
Filtering and sorting
Use the view options in the toolbar to refine the list further. The following filters are available:
- Sorting — order tasks by creation date, assignee, initiator, status, priority, due date, or alphabetically.
- Assignee — show only tasks assigned to a specific person.
- Initiator — show only tasks created by a specific person.
- Milestone — narrow the list to tasks belonging to a particular milestone or status.
- From / Until — restrict results to tasks with a due date within a given date range.
- Hide completed tasks — this option is enabled by default. Uncheck it to also show tasks that have already been completed.
Note that some filter and sort options are only available on the All tasks tab, and are not shown on the My tasks or Personal task list tabs where they would not be applicable.
Starting a new task
Click the button in the toolbar on the right-hand side of the task list. The New task dialogue panel opens as an overlay on top of the task list.
Filling in the New task form
The form contains the following fields:
Title (required) Enter a short, descriptive name for the task. This is the only mandatory field.
Description Add any additional details or context for the task. Use this field to clarify what needs to be done.
Destination This is the place where the todo item will live. By default this is your perosnal task list which only you can see. If you want to assign a ticket to colleague, then select a Workspace instead.
Initiator The person who is creating or requesting the task. Start typing a name to search for a colleague. The initiator field is hidden when ‘‘Personal task list’ is selected as the destination.
Assignee The person responsible for completing the task. Start typing a name to search for a colleague.
Due date Enter the date by which the task should be completed.
Saving the task
Once you have filled in the required fields, click Save to create the task. You can also click Save and go to another to save the current task and immediately open a new blank form to create another task. Click Cancel to discard the task without saving.
After saving, the task appears in the task list under the appropriate group (for example, Personal tasks) and its details are shown in the document area on the right hand side.
Viewing the task detail
In the detail view, everything that is known about a task, such as title, description, due date, etc is displayed.
Editing a task
When you now switch to edit mode you will be able to fill out even more fields than were available on the new task form.
To enter edit mode, click the Edit button in the top-right corner of the panel. The task form opens inline, allowing you to update any of the fields. You can also add or remove attachments. Click Save to apply your changes, or Cancel to discard them.
Changing the task status
The current status of a task is shown in the Open dropdown button in the task detail toolbar. Click the dropdown arrow to select a different status, for example to mark the task as in progress or completed.
Priority indicators
Tasks with elevated priority are flagged in the task list with a coloured exclamation mark prefix:
